Booking and payment
All bookings and payments are to be made via alexsnowoffroad.com, BAC’s or directly over the phone by card. All payments are via stripe and Paypal at the time of booking. For any payments in person or on the day, the following method of payments that will be accepted are card or cash. Your booking is only confirmed once payment is complete and the customer confirms they have read all terms and conditions, you will then receive your confirmation email. All bookings are done on a first-come first-serve basis. Alex Snow Off-Road LTD will send you a secondary email with all your further experience information, directions and T&C’s.
Cancellation of booking by the customer
All requests for cancellations must be in writing and sent by email. Upon receipt of the email requesting cancellation, Alex Snow Off- Road LTD will acknowledge a cancellation within 7 days. Until the Customer has received confirmation, the original booking remains valid. The Customer will be charged on the following basis- -21 or more days prior to the event start date a 20% administration fee per booking will be charged. -Up to and including 20 days prior to the event start date – the booking fee is not refundable or transferable. -During your booked experience day, if you are unable to continue for whatever reason, no refund of the booking fee will be given. -All deposits to secure bookings are non-refundable.
Changes to the booking by the customer
All requests for changes to bookings must be in writing sent by email. Upon receipt of the customers email requesting the change Alex Snow Off-Road LTD will acknowledge any changes within 7 days. The request will only be considered if made 21 or more days prior to the experience start date and will incur an administration fee. Until the Customer has received confirmation, the original booking remains valid. Changes are at the organiser’s discretion and every effort will be made to accommodate the Customer’s request. The Customer will be charged on the following basis- -21 or more days prior to the event start date a 10% administration fee per booking will be charged. -Up to and including 20 days prior to the event start date- the fee and event are non refundable or transferable. -Customers can only transfer there experience date once and it must be redeemed within 12 months of the original experience date. -Gift vouchers can not be exchanged for a cash refund and must be redeemed with 12 months of the original booking. -Customers transferring a course date to a subsequent year will be liable for any increases in experience cost.
ChangeCancellation of Experience by Alex Snow Off-Road LTD.
Alex Snow Off-Road reserves the right to postpone or cancel any events at any time with good cause e.g. safety reasons, bad weather etc. Alex Snow Off-Road LTD can cancel the event up to 10 days prior to the start date if it is deemed to be undersubscribed. Customers will be informed in writing and may choose to either participate in another experience, a different date if available or a full refund of their original booking.
Insurance
Alex Snow Off-Road LTD does not provide any customer with Personal Accident Insurance. As a potentially high risk activity the customer may wish to consider purchasing Personal Accident Insurance before participating in their chosen experience. Customers are covered by third party road risk insurance only whilst participating on an Alex Snow Off-Road LTD event. Any rider with their own machine participation in any Alex Snow Off- Road event will have to show a copy of there road risk insurance cover before starting. Insurance to cover damages on Alex Snow Off-Road LTD machines whilst participating in any event can be taken out optionally to exempt the customer from incurred fees. This can be purchased before or on the day of the event for £25 per rider. More details will be on your booking confirmation.
Safety Regulations
Customers participating in all events are expected to comply with all safety guidance and instructions given by Alex Snow Off-Road LTD staff. Customers accept that riding a motorcycle is a dangerous activity. Off-road motorcycle activities take place on varied natural terrain and environments where there are continuously changing hazards and risks to aware of. Every effort will be made by the Alex Snow Off-Road LTD team to provide training in a safe controlled manner. All riders are expected to grade them selves truthfully on the ability chart provided when making their booking, this is for the safety of the customer, staff and other participants. If, in an instructor’s opinion, it is unsafe for a Customer to continue on their current experience, Alex Snow Off-Road LTD reserve the right to move that Customer to a different training group or bike appropriate to that Customer’s ability level. In the event of such decision Alex Snow Off-Road LTD will not reimburse fees. Customers must be physically fit and well to take part on all events.
Use of own motor-cycles
Customers may use their own motor-cycle on selected Alex Snow Off-Road LTD events. It is the responsibility of the Customer to ensure that their machine is fully prepared for the event type being undertaken, and is fitted with its standard silencer and conforms to all legal requirements in force at the time of the event. A minimum third party insurance cover must be in place at the time of any event and a copy of the policy will be sent to Alex Snow Off- Road LTD in advance of the chosen event. Noisy or poorly prepared motor-cycles will not be allowed to participate. Alex Snow Off-Road LTD and its representatives shall have no obligation to observe the compliance of these requirements. No refunds and transfers will be given.
Code of conduct
Our customers safety and enjoyment is paramount when taking part in any Alex Snow Off-Road LTD events. We ask that you respect yourself, other participants and staff on any of our experience days. Therefore, Alex Snow Off-Road LTD reserves the right to withdraw Customers from any event who exhibit dangerous behaviour that risks the safety to them selves, other customers and staff. Any damage caused to property or equipment as a result of unruly behaviour will be charged to the Customer.
Gift vouchers
Gift vouchers are valid for 1 year from the date of purchase. Gift vouchers can be redeemed against any event offered by Alex Snow Off-Road LTD as preferred by the recipient. Once an event date has been confirmed, any additional or outstanding fees will be taken by Alex Snow Off-Road LTD, and its terms and conditions become effective.
General
Customers booking a course agree to fully comply with our Safety Regulations, Code of conduct and any other instructions given by Alex Snow Off-Road LTD and staff. Failure to observe these rules may lead to exclusion from the event. Any customers excluded will not receive a refund. All information is produced in good faith by Alex Snow Off-Road LTD and is accurate at the time of going to press.
Complaints
Should any participant feel that the organisers have not met their obligations it should first be brought to the attention of the Directors of Alex Snow Off-Road LTD within a week of completing there event, in writing by e-mail to [email protected] However, Alex Snow Off-Road LTD will endeavour to maintain the highest level of quality and benefits to the customers experience even if any changes or alterations maybe necessary. The range of services rendered during events shall be determined by the company’s current event information & website at the time of booking. All relevant terms and conditions become effective when a booking is made and the required deposit or balance has been paid. All Customers will be asked to sign an indemnity form prior to taking part in a course and should be aware that any injury sustained whilst on the event will be the Customer’s responsibility.
Privacy Policy
Alex Snow Off-Road LTD will be what’s known as the ‘Controller’ of the personal data you provide to us, this means we control what happens to the data in our possession. We only collect basic personal data about you. This can include include, but not limited to; name, address, email, phone number, financial information, including bank details and insurance information. Your personal description and your photograph. We need to know your basic personal data in order to deal with your enquiries about our products and services. We will not collect any personal data from you we do not need to provide and oversee this service to you. All the personal data we process is processed by us in the UK. Data is located on servers within the UK, with the exception of data backups on Microsoft One Drive and the contact information from people who register to receive our newsletter. This information is stored and processed by Microsoft and MailChimp outside the EU. However both comply with EU-US Privacy Shield. We may share you data with our partner “KTM Sportmotorcycle UK Ltd” to be used by them for marketing their motorcycle range and other associated products. No other 3rd parties have access to your personal data unless you specifically agree to this sharing of your data in advance. We have a Data Protection regime in place to oversee the effective and secure processing of your personal data. The information is processed for the following purposes: To deal with an enquiry or make a booking for experience/coaching days or associated products or services. Data collected when a client signs up to receive a regular newsletter / bulletin – data will be processed by us using MailChimp. The data will only be used to send out the newsletter and the client will be able to unsubscribe at any time via MailChimp. Data will be deleted when users unsubscribe If at any point you believe the information we process on you is incorrect you can request to see this information and have it corrected or deleted. If you wish to raise a complaint on how we have handled your personal data, you can contact our office via email ([email protected]) who will investigate the matter. If you are not satisfied with our response or believe we are processing your personal data not in accordance with the law you have the right to appose.
LOG FILES
When you visit this website we collect web statistics concerning your visit, which are stored in a log file. Log files allow us to record visitors’ use of the site. The web teams use Google Analytics to record visitors’ use of the site and use this information to make changes to the layout of the website and to the information in it. Log files do not contain any personal information and they are not used to identify any individual patterns of use of the site.
